Privacy Policy

1. Overview

Timetable Genie ("the Add-on") is a Google Workspace Marketplace add-on developed by Dynamic Minds Group that builds clash-free school and university timetables inside the user's own Google Sheets™ spreadsheet, plans substitute cover when teachers are away, and produces management reports. This Privacy Policy explains what data the Add-on accesses, why it is accessed, and how it is protected.

We are committed to protecting the privacy of schools, coordinators, and teachers. We do not sell, share, or monetise any personal data.

Timetable Genie's use of raw or derived user data received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

2. Compliance with the Google API Services User Data Policy

In addition to the Limited Use commitment above, we make the following promises:

• No AI/ML training. Timetable Genie does not use, transfer, or sell any user data obtained from Google Workspace APIs to develop, improve, or train generalised or non-personalised AI/ML models.
• No human review. No employee, contractor, or third party of Dynamic Minds Group reads the contents of your spreadsheet, your school setup, or your timetables, except as strictly necessary to (a) provide support at your explicit request, (b) comply with applicable law, or (c) maintain operational security and prevent abuse.
• No content storage. All school data remains within your own Google account. We do not retain a central database of spreadsheet content, school setups, or generated timetables.
• No advertising or third-party transfer. User data is never sold, transferred, or used for advertising, retargeting, or any purpose other than providing or improving the Add-on's user-facing functionality.

3. What Data We Access

Google Sheets™ (spreadsheets.currentonly)

• The Add-on reads and writes only the spreadsheet in which you run it: it stores your school setup (working days, periods, classes, subjects, teachers, rooms, and rules) in tabs and document properties of that file, and writes timetable views, reports, and cover-duty sheets back into the same file.
• It cannot see, open, or list any other spreadsheet or file in your Google Drive.

Dialog display (script.container.ui)

• Used solely to show the setup wizard window inside your spreadsheet. No data is collected by this permission.

External requests (script.external_request)

• Used solely to send a solve request to the Dynamic Minds Group scheduling service when a large school (roughly above 15 sections) needs the advanced engine, as described in section 5. Smaller schools are solved entirely inside your spreadsheet and nothing is transmitted at all.

Basic profile at activation (userinfo.email, userinfo.profile)

• Used exactly once, at first-run activation, to pre-fill the one-time consent dialog with your name and email address so you can review them before agreeing.
• If you agree, we store your name, email address, consent status, and timestamp in Dynamic Minds Group's secure records, and use them only to provide the Add-on, respond to your support requests, and send occasional product updates.
• If you press Cancel, no name and no email address is transmitted or stored; only an anonymous count of the declined consent is recorded.
• These permissions are never read again after activation, and your activation record is never sold, shared, or used for advertising.

4. Data Storage

We do not maintain any central database of school information or spreadsheet content.

5. The Scheduling Service

For large schools only, the Add-on sends the scheduling data needed to compute the timetable (class, subject, teacher, and room identifiers, periods, working days, and rules) to a Dynamic Minds Group service hosted on Google Cloud Run. The request travels over HTTPS with an authenticated key, is processed in memory to compute the timetable, and the result is returned to your spreadsheet. The content of these requests is not stored, not logged as content, and not used for any other purpose. Because no student personal data is required by the Add-on, none is ever transmitted.

6. Third-Party Services

Timetable Genie uses no analytics inside the Add-on, no advertising networks, and no AI services. Its only network destination is the Dynamic Minds Group scheduling service described in section 5, and only for large schools.

7. Children's Privacy

Timetable Genie is a tool for school staff, not students. Students do not install, sign in to, or interact with the Add-on. No personal data of children is requested or needed for any feature; do not enter student personal information.

8. Security

• All communications with the scheduling service use HTTPS / TLS encryption with an authenticated key.
• The Add-on requests the minimum OAuth scopes required for its functionality, and its Sheets access is limited to the current spreadsheet only.
• The Add-on does not store passwords, OAuth tokens, or other credentials outside Google's secure session storage.
• You can revoke the Add-on's access at any time via Google Account permissions.

9. Your Rights

• Access: view, edit, or export your data anytime; it is all in your own spreadsheet.
• Deletion: delete the tabs the Add-on created, delete the spreadsheet, or uninstall the Add-on; your data goes with it. The scheduling service retains nothing after a solve completes.
• Revoke: visit myaccount.google.com/permissions to revoke access at any time.

10. Changes to This Policy

We will notify users of material changes via the Google Workspace Marketplace listing notes. The "Last updated" date above reflects the most recent revision.
