Privacy Policy

1. Overview

PersonaSheet (“the Add-on”) is a Google Workspace Marketplace add-on developed by Dynamic Minds Group that helps teachers generate AI-personalised worksheets for each student, dispatch them via Google Classroom or email, and grade them automatically. This Privacy Policy explains what data the Add-on accesses, why it is accessed, and how it is protected.

We are committed to protecting the privacy of teachers and students. We do not sell, share, or monetise any personal data.

2. Compliance with Google API Services User Data Policy

In addition, we make the following commitments:

• No AI/ML training. PersonaSheet does not use, transfer, or sell any user data obtained from Google Workspace APIs to develop, improve, or train generalised or non-personalised AI/ML models.
• No human review. No employee, contractor, or third party of Dynamic Minds Group reads or has access to the contents of teacher Sheets, generated Docs, or student information processed by the Add-on, except as strictly necessary to (a) provide support at the user’s explicit request, (b) comply with applicable law, or (c) maintain operational security and prevent abuse.
• No content storage. All user and student data remains within the user’s own Google account. We do not retain a central database of teacher Sheet content, generated worksheet content, or student information.
• No advertising or third-party transfer. User data is never sold, transferred, or used for serving ads, retargeting, interest-based advertising, or any purpose other than providing or improving the Add-on’s user-facing functionality.

3. What Data We Access

User’s Google Account

• Email address — to identify the account holder, for licence verification and customer support.
• Display name — to personalise the user’s experience and to sign emails sent to students from the user’s own account.

Google Drive

• Worksheet folder hierarchy — the Add-on creates a “PersonaSheet” folder in the user’s Drive to organise generated worksheets and answer keys.

Google Docs

• Worksheet creation — the Add-on creates a personalised worksheet Doc and a separate answer key Doc for each student.
• Content insertion — questions, mathematical equations (rendered as images), and grading scores are written into the same Docs the Add-on created.
• Grading — when the user initiates grading, the Add-on reads the student’s submitted worksheet to evaluate answers, then writes per-question scores back into the same Doc. The Add-on never accesses any Doc that it did not create itself.

Google Sheets

• current-only scope — the Add-on can only access the spreadsheet the user has currently open. It cannot access any other Sheet in the user’s Drive.
• Student profile data — names, grade, section, and learning interests are entered by the user in their own Google Sheet. The Add-on reads this information only to generate personalised content.

Gmail

• Send-only access — the Add-on can only send emails on behalf of the user. It cannot read, search, or access any messages in the user’s inbox.
• Use — sending worksheet links or PDFs to students, sending grade reports, and sending optional reminder emails before the worksheet due date.

4. Data Storage

We do not maintain any central database of user or student data. The table below summarises where each type of information is stored.

5. Third-Party Services

Google Gemini API

We use the Google Gemini API to generate worksheet questions and to grade student submissions. We send to Gemini:

• Curriculum context (subject, grade, board, topic, chapter)
• Anonymised student interest tags (e.g. “student likes cricket”)
• Difficulty preferences and number of questions

We do NOT send to Gemini:

• Student names or email addresses
• Parent contact details
• Any other personally identifying information

Per Google’s Gemini API terms for paid services, prompts and responses are not used to train Google’s generative AI models.

Operational Telemetry

To deliver the Add-on’s functionality, we transmit a small number of operational events to our secure server. These are limited to:

• The teacher’s account email and display name (to identify the licence holder for the Sparks balance and customer support)
• Per-run counters: number of worksheets generated, error codes, generation time
• Plan type (Trial / Paid) and remaining Sparks balance

This information is used only for the following functionality-related purposes:

• Tracking the Sparks balance you have purchased so you can use the Add-on
• Identifying technical errors so we can troubleshoot and provide support
• Monitoring Add-on reliability

We do NOT send to this server:

• Student names, email addresses, or any other student-identifying information
• The content of any generated worksheet, answer, or grade
• The text of your Sheets, Docs, or any document content

We do not use, sell, or transfer this data for advertising, retargeting, training AI models, or any other purpose unrelated to providing or improving the Add-on’s functionality.

LaTeX Rendering Service

Mathematical equations are rendered as images using a LaTeX rendering service operated by Dynamic Minds Group. Only the equation text is sent (e.g. “x^2 + 2x + 1”) — no student data or context is transmitted.

6. Children’s Privacy

PersonaSheet is a tool for teachers, not students. Students do not install, sign in to, or interact with the Add-on directly. Student data is processed under the teacher’s authority and the school’s existing Google Workspace for Education terms. Teachers should ensure they have the appropriate consent under their school’s policies before entering student information.

7. Security

• All API communications use HTTPS / TLS encryption.
• The Add-on uses the minimum OAuth scopes required for its functionality.
• The Add-on does not store passwords, OAuth tokens, or other credentials outside Google’s secure session storage.
• Users can revoke the Add-on’s access at any time via Google Account permissions.

8. Your Rights

Because all data lives in your own Google account:

• Access — you can view, edit, or export your data at any time through your Google Drive, Sheets, and Docs.
• Deletion — to delete all data created by PersonaSheet, simply delete the “PersonaSheet” folder in your Drive and uninstall the Add-on.
• Revoke access — visit https://myaccount.google.com/permissions to revoke the Add-on’s access to your account at any time.

9. Changes to This Policy

We will notify users of material changes via the Google Workspace Marketplace listing update notes and via email to the registered teacher account. The “Last Updated” date at the top of this policy will reflect the most recent revision.
